Refunds, Returns & Complaints Policy

1. Scope of This Policy

All services offered by Clearminds Center are covered by this policy, including (but not limited to) therapy sessions, evaluations, consultations, workshops, and any digital or in-person services scheduled via our website or directly with our staff.

2. Refund Policy

Due to the nature of mental health and therapeutic services, refunds are handled on a case-by-case basis.

Refunds may be considered in the following circumstances:

  • A session was cancelled by Clearminds Center.
  • A technical issue on our side prevented the session from taking place.
  • Duplicate or incorrect charges were made in error.

Refunds are generally not provided for:

  • Completed therapy or consultation sessions.
  • Missed appointments or late cancellations (see Cancellation Policy).
  • Change of mind after a service has been delivered.

If a refund is approved, it will be processed using the original payment method and may take 7–14 business days to reflect, depending on your bank or payment provider.

3. Cancellation & Rescheduling

  • Appointments must be cancelled or rescheduled at least 24 hours in advance of the scheduled session.
  • Cancellations made less than 24 hours before the appointment, or failure to attend a session, may be charged in full.
  • Exceptions may be made in genuine emergencies at the discretion of Clearminds Center.

4. Returns Policy

Clearminds Center does not offer returns, as services provided are non-tangible and delivered in real time.

For any digital materials, reports, or resources provided as part of a service:

  • Access is granted upon delivery and cannot be “returned”.
  • If you experience issues accessing paid digital materials, please contact us so we can assist.

5. Complaints & Feedback

We are committed to providing high-quality, ethical, and professional care.

If you wish to raise a complaint:

  • Please contact us directly at info@clearmindscenter.com
  • Include your name, date of service, therapist (if applicable), and a brief description of your concern.

All complaints will be:

  • Acknowledged within a reasonable timeframe
  • Reviewed confidentially and professionally
  • Addressed fairly, with respect for client privacy and therapeutic boundaries

Raising a complaint will not affect your right to continue or discontinue services.
